How do Evaluations and Assessments work in T-Res?

The T-Res Evaluations feature allows resident and staff users to send and receive feedback to each other instantly and in an organized way regarding a certain procedure or task that was done.

The basic structure of events is as follows:

  1. The resident saves an activity in their own T-Res account, set to a specific staff user.
  2. The staff user receives notification that an activity was logged with their name attached.
  3. The staff user logs in and sees an Evaluation item has been added to their list.
  4. This Evaluation contains pre-determined values coming from the original saved by the resident.
  5. The staff user saves the Evaluation with additional feedback to the resident.
  6. The resident receives notification of the feedback, and can respond if necessary.
  7. The staff user flags the Evaluation as 'complete' once they are satisfied.
  8. The resident sees that the evaluation has been completed.

Evaluation Strategies

Each Program has the option to choose and customize the Resident Activity reports to be as robust and dynamic as the program/preceptor needs.

Currently T-Res offers 4 Evaluation options.

  1. Always Evaluate
  2. Request Evaluation
  3. Lottery System
  4. Procedure-specific Evaluation

 

Option 1: Always Evaluate

With the Evaluations feature, any of the activity forms available to the resident can be set to be Evaluable. This means that when that type of form is saved, a copy is sent to the account of the staff member in the Attending Physician field set by the resident. That staff member will automatically receive an email notification from the system, with a link to log in to see the values set by the resident as a new activity in their list.

The green fields indicate the fields that will be included in the copy sent to the staff. Grey fields are evaluations done by the Staff that are sent back to the resident. Beige fields are not copied. 

Additional fields can be added to the staff's evaluation form that the resident cannot see, such as measures of competence. These can also optionally be made visible to the resident.

 

Option 2: Request Evaluation

This option gives the Resident more control and responsibility. The Resident will only be able to submit an activity for evaluation if they click on the Request Evaluation check box located in the Self Evaluation portion of the report.

Option 3: Lottery System

The lottery system allows for any set percentage of Resident activities to be evaluated by the Preceptor. For example, the Preceptors may only want to see 10% of activities submitted by the residents, whereas Preceptors from another program may want to see 75% of submitted activities.

This option allows for Programs to increase/decrease the workload of their Preceptors, depending on the amount of residents they are responsible for, and feedback from the Preceptors themselves.

 

Option 4: Procedure-specific Evaluation

The procedure-specific system will trigger an evaluation only when a specific procedure is logged. This can be expanded to include any group of procedures you like. In order for an evaluation to be sent, an activity must be created by the resident that contains at least one of the procedures on a list determined during configuration.

This system can be combined with the other systems to change the evaluation probability once a procedure is logged.

    It is also possible to have the lottery linked to the individual procedures so less common ones are evaluated more often.
